Role

We are undergoing a period of transformation within our Digital, Data and Technology (DDaT) Directorate, driving innovation and delivering meaningful impact for The Pensions Regulator (TPR), the industry, and savers across the UK. As we continue to enhance our digital and data capabilities, we are seeking an Executive Assistant to support our Executive Director (ED) of DDaT.

This role requires a proactive and autonomous individual to provide high-level administrative support, ensuring the ED’s time is effectively managed and they are well-prepared for all engagements. As a key member of the DDaT Executive Team, you will contribute to the smooth operation of the Directorate.

Acting as the primary liaison for internal and external stakeholders, you will manage communications, coordinate meetings, and handle sensitive information with discretion. You will also support project delivery, gather data to inform decisions, and work closely with the DDaT Executive and CEO office to align with organisational goals.

Responsibilities

  • Administrative Support: Deliver comprehensive support to the ED, including diary management, meeting coordination, and preparation of documents and presentations to a high standard.
  • Communication Management: Act as the first point of contact for internal and external stakeholders, managing emails, calls, and correspondence on behalf of the ED, often independently and with sound judgement.
  • Information Management: Collect and organise relevant data to support planning and decision-making, ensuring confidentiality and accessibility.
  • Planning and Meeting Coordination: Responsible for the Directorate’s Forward Planner, manage governance timelines, coordinate executive meetings and deadline management. Prepare agendas, distribute materials, track actions, and record accurate minutes.
  • Relationship Management: Build and sustain effective relationships with senior leaders, staff, and external partners. Support meetings with research and briefing materials.
  • Project Support: Lead small-scale projects such as away days. Assist the ED and Senior Leadership Team in prioritising initiatives, tracking progress, and reporting on outcomes.
  • Confidentiality and Discretion: Handle all sensitive information with the highest level of professionalism and confidentiality.
  • CEO Office Coordination: Support collaboration with the CEO office, including drafting/co-ordinating reports and contributing to corporate planning.
  • Wider Directorate Support: Provide occasional support to other DDaT Directors, including cover for Executive Personal Assistants during absences.

Essential criteria

  • Proven experience in executive-level support with excellent organisational, diary, and time management skills.
  • A proactive, self-starting approach with the ability to anticipate needs.
  • Strong written and verbal communication skills, including minute-taking and drafting complex documents.
  • Ability to communicate effectively with stakeholders at all levels, maintaining discretion and professionalism.
  • Experience managing small projects and interpreting complex information quickly.
  • Demonstrated ability to set and monitor priorities, goals, and deadlines.

Desirable criteria

  • Experience engaging with and presenting to senior stakeholders.
  • Familiarity with corporate planning and reporting processes.
